StudioSuite (“we”, “our”, or “us”) is a platform that helps music teachers manage student enrollment, communication, and scheduling.
This Privacy Policy explains what information we collect, how we use it, and how we protect it.
1. Information we collect
We collect information you provide when using StudioSuite, including:
Account information
- Name
- Email address
- Password (securely encrypted)
Studio information
- Studio name
- Booking settings and availability
- Calendar preferences
Family and student information
- Names of students and guardians
- Email addresses and phone numbers
- Notes you choose to store
- Student birthdays (optional)
Booking information
- Appointment date and time
- Meeting location or link
- Notes submitted during booking
2. How we use your information
We use this information to:
- Provide and operate StudioSuite
- Allow families to book discovery calls
- Send emails and notifications on your behalf
- Manage your Studio Flows and Family Cards
- Improve the product experience
We do not sell your data. We do not share your data with third parties for marketing purposes.
3. Payments
If you subscribe to StudioSuite:
- Payments are processed securely by a third-party provider (Stripe)
- We do not store full payment card details
4. Email and communication
StudioSuite sends emails using a third-party provider (Resend).
- Emails are sent from
noreply@studiosuite.online - Replies go directly to your email address
- Messages are triggered by your Studio Flows and settings
5. SMS and text messaging
StudioSuite sends text messages using a third-party provider (Twilio).
- SMS messages are sent on behalf of music teachers to families who have opted in
- Families opt in by checking a consent box on a public-facing form and can opt out at any time by replying STOP to any message
- Phone numbers are never shared with third parties for marketing purposes
- Message and data rates may apply
6. Google Calendar integration
StudioSuite offers an optional integration with Google Calendar so teachers can manage discovery calls, lesson schedules, and studio events alongside their existing calendar. Connecting Google Calendar is never required to use StudioSuite.
When you choose to connect Google Calendar, StudioSuite requests the following OAuth scopes:
- https://www.googleapis.com/auth/calendar.readonly — used to read your calendar availability so the public booking page can show families which times you are free for discovery calls.
- https://www.googleapis.com/auth/calendar.events — used to create calendar events on your behalf when you publish a Studio Event (recital, group class, workshop, etc.) and to add families to those events as attendees when they RSVP yes.
The OAuth access and refresh tokens Google issues to StudioSuite are stored in our database (PostgreSQL on Neon) so that we can call the Google Calendar API on your behalf without requiring you to re-authenticate every session. We do not store the contents of your existing calendar events. We only store: (1) the OAuth tokens, (2) the Google Calendar event IDs of events that StudioSuite created, and (3) attendee email addresses you explicitly added through the StudioSuite app.
You can disconnect Google Calendar at any time from the Calendar settings page in StudioSuite. Disconnecting deletes our copy of your OAuth tokens. You can also revoke StudioSuite's access directly from your Google Account at myaccount.google.com/permissions. If you delete your StudioSuite account entirely, your OAuth tokens are deleted along with the rest of your account data.
6a. Google API Services User Data Policy — Limited Use
StudioSuite's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, data received from Google APIs is used only to:
- Provide the calendar features described above (availability checking and event creation)
- Enable user-facing functionality that you, the teacher, have explicitly opted into
Data received from Google APIs is never:
- Used or transferred for serving advertisements, including retargeted advertising
- Used to train or improve generalized or third-party machine learning models or AI tools
- Sold to data brokers or other information resellers
- Read by humans, except (a) with your explicit consent for a specific purpose, (b) for security investigations, or (c) when required by law
7. Data ownership
You own your data.
- Family and student data belongs to you
- You can edit or delete it at any time
- We only use it to provide the service
8. Data storage and security
- Data is stored using secure cloud infrastructure
- Passwords are encrypted
- We take reasonable steps to protect your information
However, no system is completely secure, and we cannot guarantee absolute security.
9. Third-party services
We use trusted third-party services to operate StudioSuite, including:
- Hosting and infrastructure providers
- Database services (PostgreSQL via Neon)
- Email delivery (Resend)
- SMS messaging (Twilio)
- Payment processing (Stripe)
- Authentication providers (Google OAuth, if used)
These providers only access data as needed to perform their services.
10. Cookies and basic usage data
We may collect limited technical information such as:
- IP address
- Browser type
- Device information
This helps us operate and improve the platform.
11. Data retention
We retain data as long as needed to:
- Provide the service
- Comply with legal obligations
- Resolve disputes
You may request deletion of your account and data by contacting us.
12. Children's data
StudioSuite may store student information entered by teachers.
We do not knowingly collect data directly from children. All data is entered and managed by the teacher.
13. Your choices
You can:
- Update your account information
- Edit or delete Family Cards
- Disconnect integrations
- Stop using the platform at any time
14. Changes to this policy
We may update this Privacy Policy from time to time.
If we make significant changes, we will update the date at the top of this page.
